Assistant Specialist for Meetings & Events (m/f)

Purpose & Overall Relevance for the Organisation:

Provide a high level of administrative support to the superior and his/her department to ensure efficient management and running of the function on a day to day level.

Key Responsibilities:

Meeting Management

  • Create, change and maintain meeting and event data in the Global Meetings system Cvent
  • Provide necessary reports out of the system to meeting planners, superior or external suppliers
  • Routine correspondence supporting the travel team
  • Perform payment support regarding meetings and events

Travel Management Administration

  • Provide administrational support regarding payment processes for travel management and meeting management operations
  • Provide and control internal recharges from Travel Management cost center
  • Monitor email entry and administer the department owned email accounts as directed
  • Support the team on general tasks

Knowledge, Skills and Abilities:

  • Solid working knowledge of Microsoft Office (particularly Excel, PowerPoint, Word, Outlook)
  • Very good English language skills, both written and spoken
  • Basic skills in German, both written and spoken
  • High level of service orientation in dealing with internal and external stakeholders / customers
  • Good organizational skills
  • Good analytical skills
  • Advanced PC software skills

Requisite Education and Experience / Minimum Qualifications:

  • 0-3 years of experience
  • Vocational training required
  • Basic knowledge of systems and procedures in own position
